How we handle your data
You share data with us when you fill in the contact form, use the calculator or log in to the customer portal. This page explains which data that is, what we use it for and how long we keep it.

What we process and why
Contact form and e-mail
When you fill in the contact form we receive your name, company, e-mail address, optionally your phone number, and your message. We use them to answer your question and plan a call. The message reaches our mailbox (Microsoft 365) through an e-mail delivery service (Resend). We keep it as long as needed to handle your question and for follow-up, at most two years after the last contact.
Calculator
If you have your own model calculated in the calculator, we ask for your e-mail address. The 3D file (STL) passes through our calculation and is not stored, neither on a server nor on disk. We receive a notification with your e-mail address, the file name and the result, so we can contact you about your request. We keep that notification for at most two years.
Customer portal
The customer portal is for customers with an invitation. You log in with your e-mail address and a password. We process your name, e-mail address, company and the data about your quotations, projects, planning, invoices, installations and service requests. This data comes from our business system and is needed to perform the agreement with your company. We keep it for the duration of the customer relationship and afterwards as long as the law requires (seven years for financial records).
Quotations, projects and service
Business contact details of customers and suppliers (name, role, e-mail address, phone number) are stored in our business system for quotations, projects, service and invoicing. For complex systems we work with Grimbergen Industrial Systems; where a project requires it, we share project data with them.
Website statistics
Only if you choose so, we use Google Analytics and Microsoft Clarity to see which pages are visited and how visitors use the site. Clarity records anonymous mouse movements and clicks; what you type in forms is masked. Google and Microsoft may process this data outside the European Union. Both companies are certified under the EU-US Data Privacy Framework. You can change your choice at any time through Cookie settings at the bottom of every page.
Security and technology
The website is hosted and protected by Cloudflare. Technical data such as your IP address and browser type is processed briefly to deliver the site and prevent abuse, including a spam check on the contact form. Some parts, such as the map and the 3D demo, load from external servers; those servers see your IP address.

Essential cookies and storage are always on; statistics cookies are only set after your choice.

Who we share data with
We do not sell data. We only share it with parties that work for us under a data processing agreement or comparable terms: our hosting provider (Cloudflare), our e-mail platform (Microsoft), the delivery service for the contact form and, after your choice, Google and Microsoft for statistics. On joint projects we share project data with Grimbergen Industrial Systems. We share data with authorities only when the law requires it.
Your rights
You can ask us which data we hold about you, and ask us to correct, delete, restrict or transfer it. You can also object to a processing and withdraw consent you have given. E-mail info@aimrobotics.nl; we respond within a month. If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (opens in a new window).
Security
We protect your data with encrypted connections (https), role-based access and passwords that we store only in hashed form. Only staff who need the data for their work can access it.
Changes
If we change this statement, we publish the new version with its date on this page.
